About The Position

Ramboll is seeking a full-time Administrative Assistant to join our Princeton, New Jersey office. This is an opportunity for a highly organized, service-oriented professional to play an important role in supporting a collaborative team within a global engineering and consultancy company. Experience in an engineering, environmental, or consulting environment is preferred, but not required. In this role, you will support day-to-day office operations, coordinate meetings and events, assist with polished client-facing documents, and help ensure colleagues have the resources they need to do their best work. To succeed in this role, you should be organized, proactive, and comfortable balancing a variety of priorities in a professional office environment. The ideal candidate is resourceful, collaborative, and detail-oriented, with strong communication skills and experience preparing, formatting, or proofreading business documents such as reports, proposals, and presentations. Requirements

  • A bachelor’s degree in business, communications, marketing, or a related field is preferred. An associate degree or equivalent combination of education and relevant experience will also be considered.
  • Two years or more of relevant professional administrative experience; prior experience supporting an engineering, environmental, architecture, or consulting firm is beneficial but not required
  • Strong proficiency with Microsoft Office 365, including Word, Excel, PowerPoint, Outlook, OneDrive, and Teams; Adobe experience is beneficial
  • Familiarity with a customer relationship management (CRM) software system is beneficial but not required
  • Experience with planning meetings and events including planning the catering
  • Ability to troubleshoot office equipment (e.g., copiers/printers) and assist with setting up virtual meetings in conference rooms
  • Excellent written and verbal communication skills, with strong proofreading, editing, grammar, spelling, punctuation, and formatting skills and a high level of attention to detail
  • Ability to manage multiple priorities, shift focus as needed, and follow through on tasks in a fast-paced professional environment
  • Ability to take ownership, work independently with minimal supervision, and use sound judgment when solving problems
  • High level of professionalism, discretion, and care when handling sensitive or confidential information

Responsibilities

  • Prepare, format, proofread, and edit documents, including proposals, presentations, reports, and other client-facing materials using Ramboll branded templates; review materials for brand consistency, grammar, punctuation, formatting, graphics, and tables
  • Document production, including printing, collating and shipping
  • Organize and support employee engagement activities, client meetings, and internal meetings, including calendar coordination, meeting room and resource bookings, catering, A/V and office equipment support, and meeting space set-up and clean-up
  • Help maintain a professional, organized, and welcoming office environment, including workstations, kitchen areas, conference rooms, shared spaces, and office supplies
  • Process vendor invoices for payment
  • Provide general administrative support to employees and project teams, helping coordinate day-to-day requests and keep work moving efficiently
  • Visitor reception and front-office support, including building access, mail, deliveries, and a positive first impression for guests
  • Assist with employee onboarding and offboarding activities in coordination with internal teams
  • Coordinate travel arrangements and related logistics, as needed
