About The Position

This is an exciting opportunity to launch or grow your career in the corporate property management industry. As an Administrative Assistant, you’ll play a key role in supporting the day-to-day operations of our residential rental offices, acting as a central point of contact for residents, prospects, vendors, and internal teams.

Requirements

  • Post-secondary diploma or degree in a related field, or an equivalent combination of education and experience.
  • 1–2 years of experience in reception, administration, or an office-based role.
  • Strong written and verbal communication skills with exceptional attention to detail.
  • Proven ability to multitask, prioritize, and stay organized in a fast-paced environment.
  • Effective problem-solving and conflict-resolution skills.
  • Hands-on experience with digital platforms, including social media.
  • A professional, friendly, and approachable demeanor with strong interpersonal skills.
  • A genuine commitment to providing outstanding service and engagement to residents and prospects across all communication channels.

Responsibilities

  • Serve as the first point of contact for residents and prospective tenants via phone, email, and digital platforms.
  • Respond to inquiries promptly and professionally, ensuring a consistently high level of service.
  • Coordinate tenant move-ins, move-outs, maintenance requests, and service calls.
  • Monitor and assign visitor parking and assist with building access systems.
  • Create and distribute resident communications, signage, notices, and community updates.
  • Coordinate resident engagement initiatives, including contests, prize draws, and community events.
  • Maintain and administer property management databases, access control, parcel locker, and camera systems.
  • Ensure lease data accuracy, including rent billing, reconciliations, renewals, and rent increases.
  • Assist with apartment preparation for move-ins and move-outs.
  • Support quarterly building audits and general operational projects.
  • Manage insurance documentation for tenants and vendors to ensure compliance with leases and corporate policies.
  • Liaise with vendors and suppliers to support smooth building operations.
  • Assist with finance and accounting-related matters as required.
  • Coordinate closely with building operators, accounting teams, and other internal stakeholders.
  • Support and collaborate with team members on social media, website updates, and digital engagement initiatives.
  • Facilitate Aquilini Centre’s participation in community events to strengthen resident engagement and brand presence.
