About The Position

Under the direct supervision of the Executive Assistant, the Administrative Assistant provides comprehensive administrative and clerical support to all administrative departments at SWACO. This position serves as the first point of contact for customers and visitors, manages incoming calls, and maintains awareness of SWACO programs, events, and activities. The Administrative Assistant plays a key role in supporting daily office operations while maintaining professionalism, confidentiality, and excellent customer service.

Requirements

  • High school diploma or GED required.
  • Minimum of three (3) years of progressively responsible administrative experience required.
  • Proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Strong organizational, proofreading, and attention‑to‑detail skills.
  • Ability to interact professionally with all levels of staff, management, board members, and external contacts.
  • Demonstrated decision‑making skills to evaluate and address work‑process challenges effectively.
  • Regularly required to sit, stand, walk, reach, use hands and fingers, and communicate verbally.
  • Ability to lift and/or move items up to 10 pounds.
  • Vision abilities include close vision and the ability to adjust focus.
  • Use of personal protective equipment (PPE), such as outer garments, may be required when collecting and delivering mail.

Responsibilities

  • Greet and assist visitors and callers in a pleasant, professional, and courteous manner.
  • Answer general inquiries from the public using knowledge of SWACO programs and services.
  • Announce deliveries and guest arrivals promptly to appropriate staff.
  • Assist with arranging and preparing for meetings and appointments involving multiple parties, including scheduling, room setup, meals, transportation coordination, and cleanup.
  • Maintain confidentiality when handling sensitive or confidential information.
  • Compile and maintain records for employees and board members, including titles, hire dates, and photographs.
  • Ensure reception and kitchen areas are clean, organized, and professional in appearance.
  • Monitor and manage office supplies for the Administrative Office Building, including anticipating future ordering needs.
  • Coordinate repairs and ensure administrative office equipment remains in proper working order.
  • Prepare and submit legal notifications to newspapers, including notices for Board Meetings, Committee of the Whole, Audit & Finance meetings, Solid Waste Management Plan updates, open Trustee positions, board retreats, and financial reports.
  • Assist all departments with clerical and administrative needs as requested.
  • Promote a positive work environment through respectful communication and collaboration with staff, management, board members, customers, and vendors.
  • Perform other duties as assigned.
