About The Position

The Administrative Assistant is responsible for providing general administrative support to the attorneys in the Wilmington Office, including the Managing Partner. Responsibilities include, but are not limited to\: word processing, printing, scheduling travel and speaking arrangements, expense report management, and billing. The Administrative Assistant is also responsible for providing backup e-filing support. Reporting\: Reports directly to the Wilmington Office Manager Responsibilities (Essential Functions, not in priority order)\: Coordinates day-to-day operations of the Managing Partner’s practice using initiative and sound independent judgment Coordinates mediations, facilitates scheduling and communication, and provides comprehensive administrative support for practice needs Coordinates and books complex travel Screens telephone calls, mail and visitors, maintaining electronic notes, inquiries, and status of communications Prepares original letters, memos and other correspondence Schedules complex work-related activities Facilitates expense reports and bill processing Establishes and maintains files and records Collaborates with firm Billing Department and clients on the management of billing matters Assists in the preparation of monthly client billing Provides overflow support in preparing and e-filing in Chancery, Superior and Supreme Courts using File & Serve Xpress Required Skills\: Bachelor’s Degree required Three to five years of experience as an administrative, person, or executive assistant supporting a high-level professional, preferably with experience in a Delaware coroporate litigation practice Experience with the Court of Chancery practice and procedures required; experience in other courts’ practices and procedures preferred Proficient in e-filing in Court of Chancery required; experience in other Delaware state courts’ e-filing practices and procedures preferred. Experience maintaining schedules and calendars including facilitating all on-site, virtual and hybrid meetings Advanced working knowledge of Microsoft Office (Word, Excel, Power Point) and Zoom Proactive, energetic and hardworking team player Must be able to handle multiple projects in a fast-paced environment Self-motivated to provide proactive support Strong interpersonal skills including verbal and written communication are essential in this collaborative work environment Must be willing to monitor emails during non-standard business hours Job Specifications\: 9\:00 a.m. to 5\:00 p.m. – 35 hour work week. This is an on-site position Monday - Friday. Availability before or after normal working hours in order to meet the demands of the job and the needs of the firm.

Requirements

  • Bachelor’s Degree required
  • Three to five years of experience as an administrative, person, or executive assistant supporting a high-level professional, preferably with experience in a Delaware coroporate litigation practice
  • Experience with the Court of Chancery practice and procedures required; experience in other courts’ practices and procedures preferred
  • Proficient in e-filing in Court of Chancery required; experience in other Delaware state courts’ e-filing practices and procedures preferred.
  • Experience maintaining schedules and calendars including facilitating all on-site, virtual and hybrid meetings
