About The Position

This position provides direct administrative support to the Administrator. The Administrative Assistant is responsible for maintaining manuals, preparing reports and publications, performing typing, and filing. The facility is a small pediatric sub-acute hospital with 45 patients, dedicated to enriching the health and quality of life for children ranging from newborn to 21 years of age.

Requirements

  • Knowledge of corporate-level reporting and correspondence is required.
  • Must have knowledge of Windows-based computer systems and Microsoft Word.
  • A minimum of two years experience as an administrative assistant is required.
  • Must be able to stand, reach in all directions, lift and carry objects.
  • Must have fine motor skills.
  • Must have 20/20 vision (correction devices allowed) and be able to appropriately read patient information, posted materials, and other written information.
  • Must hear (correctional devices allowed) and comprehend well enough to give and receive information for appropriate completion of duties.
  • Must be able to speak, read, write, and listen in English with a skill level essential for communication in a management position.
  • Must have normal physical stamina.
  • Must be able to bend and twist.
  • Must have full use of both hands.
  • Must be able to walk intermittently.
  • Demonstrated ability to work and function with chronically ill patients and their families.
  • Demonstrated ability to maintain an appropriate level of emotional control with all patient groups; make appropriate safe decisions in critical situations.
  • Have the ability to maintain an attitude situationally appropriate; trustworthy, friendly, cooperative, supportive of good customer satisfaction.
  • Knowledge and skills necessary to obtain and use appropriate office equipment including: Personal computer, Copier, Fax machine, Postage meter, 10-key adding machine.

Nice To Haves

  • Knowledge of Microsoft Excel, Access, and PowerPoint is preferred.
  • AA degree in business or related college-level coursework is desired.
  • Experience in healthcare or a subacute environment is preferable.

Responsibilities

  • Develop and maintain Administrator’s itinerary/calendar.
  • Collect data and prepare weekly Administrator’s report.
  • Collect data and prepare monthly quality improvement reports for presentation.
  • Maintain all policy and procedure manuals, including the corresponding database.
  • Maintain the Title 22 regulations manual.
  • Register employees for conference attendance and prepare related travel arrangements.
  • Attend multiple meetings and prepare minutes.
  • Prepare applications for licensing agencies.
  • Maintain patient privacy.
  • Develop business correspondence.
  • Develop a monthly employee newsletter.
  • Maintain the Administrator’s spending record.
  • Maintain the Safety Incentive program.
  • Complete word processing tasks as requested by the Administrator.
  • Maintain the Administrator’s files.
  • Light clerical support to managers reporting to Administrator.
  • Other duties as assigned.
