Synergy , a leading Boston commercial real estate firm, seeks an experienced Administrative Assistant to support internal teams and cross-functional initiatives in a fast-paced, collaborative environment. This role is ideal for a highly organized administrative professional who thrives on coordination, systems, and follow-through rather than front-desk or facilities work. The Administrative Assistant will work closely with the Executive Assistant to the CEO, serving as a key partner in ensuring administrative processes, approvals, and internal operations run smoothly across the organization. Requirements

  • 4–6+ years of experience in administrative, executive support, or operations roles
  • Experience managing internal systems, approvals, or access controls
  • Strong organizational, communication, and prioritization skills
  • High level of professionalism, discretion, and sound judgment
  • Ability to work independently while collaborating closely with leadership and teams

Responsibilities

  • Provide proactive administrative support to multiple internal teams and leaders (non-CEO)
  • Manage shared calendars, meeting coordination, and complex scheduling needs
  • Prepare meeting materials, documentation, and internal communications
  • Track action items, deadlines, and follow-ups to support execution and accountability
  • Draft, format, and maintain internal documents and presentations
  • Review and approve technology quotes in alignment with company guidelines
  • Approve new software licenses and system access requests
  • Approve creation of SharePoints, Teams, and Domains
  • Partner with IT vendor and leadership to ensure governance and consistency across systems
  • Support internal meetings and team initiatives as needed
  • Provide coordination and administrative support for internal team events and gatherings
  • Assist with logistics and execution in partnership with stakeholders
  • Work closely with the Executive Assistant to the CEO on administrative priorities and special projects
  • Provide overflow administrative support as needed
  • Serve as a reliable backup for basic office needs during absences or peak periods
