About The Position

Drew University an Administrative Assistant in the Center for Academic Excellence (CAE). Reporting to the Associate Provost, the Administrative Assistant will support a dynamic team in the Center for Academic Excellence unit. A strong commitment to student success is essential, as is the ability to manage multiple responsibilities in a fast-paced environment, interacting with students, faculty, and parents, while handling sensitive and confidential information with discretion.

Requirements

  • Bachelor’s degree is required and/or a combination of education and experience.
  • Experience in office administration experience with strong organizational and communication skills; demonstrated proficiency in Microsoft Office Suite and Google Docs.
  • Experience demonstrating management skills, including ability to gather, analyze and consolidate data for reporting purposes.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Strong customer service skills and the ability to professionally interact with staff, visitors and students.
  • Flexibility and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Greet visitors and ensure the reception area creates a welcoming environment.
  • Ensure efficient execution of administrative procedures and processes central to the department.
  • Respond in a timely manner to requests for information and refer to other resources as appropriate; must provide accurate information on academic policies and procedures.
  • Maintain department records, research information, analyze data, prepare reports, edit and format documents and presentations, and produce standard reports, including those related to academic committee work.
  • Regularly engage with software applications related to student support, including the University’s Academic Alert System, and provide technical support to new users.
  • Manage calendars, contacts and correspondence for the department.
  • Monitor departmental budgets and report on status, variances, and potential issues.
  • Maintain adequate office supplies and other material required for the operation of the department, creating PO's and requisitions and submitting for timely payment.
  • Responsible for departmental communication, including website maintenance.
  • Room scheduling and service requests, as required.
  • May be responsible for the timely and efficient execution of special projects and other work unique to the department as assigned.
