About The Position

The Administrative Assistant for the Center for Excellence in Teaching and Learning (from hereon, CETL) is responsible for providing administrative support, including organizing and facilitating the operational flow of the department, greeting, and directing visitors, and providing clerical support to the Director and departmental staff. The Administrative Assistant of CETL is a part-time, hourly appointment on a schedule established by the Director. The position requires the ability to communicate diplomatically, clearly, and effectively both verbally and in writing and to maintain positive working relationships with other employees. Work contacts include staff, faculty, administrators, vendors, and community members.

Requirements

  • Associates degree: OR three (3) years’ related office experience; OR an equivalent combination of education and work experience.
  • Knowledge of bookkeeping or accounting.
  • Successful completion of a post-offer, pre-employment criminal background check with fingerprinting, including review of exclusionary offenses under the Illinois School Code and Title IV of the Higher Education Act.
  • Excellent customer service and interpersonal skills.
  • Ability to effectively prioritize competing tasks while maintaining a high level of accuracy and attention to detail.
  • Possess verbal, mathematical, and technical proficiency required to generate printed materials, communicate clearly, and execute core office duties.
  • Proficient in Microsoft Office applications, with the ability to learn new programs as technology changes.
  • In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment. This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment.
  • Sponsorship for work authorization is not available for this position.

Responsibilities

  • Provide clerical support to the Director and departmental staff; maintain and manage calendars and databases; schedule meetings; coordinate calendars.
  • Coordinate programming, event, and meeting logistics including reservations, space layout, and IT.
  • Serve as the primary point of contact for the front desk, welcoming guests, answering phone inquiries, and coordinating the center’s email inbox communications.
  • Purchase office supplies, including technology and break room hospitality supplies, maintain efficiency in office operations.
  • Maintain communications with different constituents to serve as a referral service and a resource unit for faculty and staff:
  • Update CETL website, as necessary.
  • Maintain listservs.
  • Administer current calendar and registration site.
  • Maintain positive relationships with administrative assistants, department chairs, and administrative staff to coordinate activities, and perform other duties.
  • Other duties as assigned.
