We are a premier provider of property emergency services, and we’re looking for a sharp, organized, and empathetic Administrative Assistant to be the heartbeat of our office. As our Administrative Assistant, you are the first point of contact for customers facing stressful situations and the primary support for our production team. You’ll be responsible for: Customer Advocacy: Answering calls with empathy and professionalism, gathering vital information to dispatch our crews quickly. Project Documentation: Managing job files from start to finish, ensuring all photos, notes, and estimates are accurate and uploaded for insurance adjusters. Financial Support: Assisting with accounts receivable, accounts payable, and billing processes to keep the business running smoothly. Office Operations: Managing schedules, maintaining office supplies, and providing clerical support to the Management team. Compliance: Ensuring all files meet the rigorous standards required by our corporate office and insurance partners.

Requirements

  • Proven Experience: A minimum of 2+ years in an administrative or office management role (experience in restoration, construction, or insurance is a major plus!).
  • Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to learn industry-specific software quickly.
  • Communication Skills: Excellent verbal and written communication. You can handle a high volume of calls while maintaining a calm, helpful demeanor.
  • Organizational Mastery: The ability to multitask and prioritize effectively in a high-pressure environment without letting details slip through the cracks.
  • Reliability: Our customers count on us, so we need someone who is punctual and dependable for our core business hours.

  • experience in restoration, construction, or insurance is a major plus!
