About The Position

The corporate office of Express Employment International is seeking a reliable, proactive, and highly organized Administrative Assistant to play a vital role in supporting our leadership team and ensuring seamless day-to-day operations. In this position, you will serve as a key point of contact and trusted partner to managers and executives, helping to streamline workflows and enhance overall efficiency. The ideal candidate thrives in a dynamic environment, demonstrates strong attention to detail, and possesses excellent interpersonal skills. This position sits within our Oklahoma City based corporate office, currently with an expectation to be onsite five days per week.

Requirements

  • Associates degree required, bachelor’s degree in related field preferred
  • Three to five years of experience in an administrative support role
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Proficient in Microsoft Office Suite or related software
  • Excellent organizational skills and attention to detail
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently

Responsibilities

  • Provide logistical and operational support for the Executive wing
  • Coordinate and schedule travel arrangements, meetings, appointments, and events for managers and supervisors
  • Prepare meeting agendas, record and distribute accurate meeting minutes, and follow up on action items as needed
  • Provide end-to-end support for meetings, including room setup, catering coordination, audiovisual/technology requirements, and post-meeting activities
  • Manage special projects by determining the most effective approach and ensuring successful outcomes
  • Retrieve, compile, and summarize information from records, emails, meeting minutes, and other sources as requested
  • Respond promptly to administrative inquiries and resolve issues efficiently
  • Maintain and manage filing systems (both physical and digital) to ensure quick and accurate retrieval of documents
  • Greet, welcome, and direct visitors and clients in a courteous and professional manner
  • Answer, screen, and transfer incoming phone calls while delivering exceptional customer service
  • Maintain adequate office supplies and coordinate maintenance and repair of office equipment
  • Manage petty cash, track expenses, and maintain accurate financial records
  • Serve as the primary point of contact for ticket management across a diverse calendar of events, ensuring accurate allocation, timely distribution, and seamless coordination
  • Perform other related duties as assigned
