About The Position

We are currently seeking an Administrative Assistant to join our Tampa office. This role will provide day-to-day administrative support to our operations team while also assisting with accounting functions. You will play a key role in keeping office operations organized and efficient while supporting financial processes such as timesheets and accounts payable. This is an excellent opportunity for a detail-oriented professional who enjoys a mix of administrative coordination and accounting support in a fast-paced, team-oriented environment.

Requirements

  • High school diploma or GED required; Associate degree preferred.
  • 2–3+ years of administrative or office support experience, preferably in A/E/C or professional services.
  • Experience with basic accounting functions such as timesheets, accounts payable, or data entry strongly preferred.
  • Experience working with an ERP system required (BST experience a plus, but not required).
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong attention to detail and accuracy, especially when handling financial data.
  • Excellent organizational, multitasking, and time management skills.
  • Strong communication skills and ability to interact with staff at all levels.
  • Ability to work independently while also supporting a collaborative team environment.

Nice To Haves

  • Experience with Deltek Vantagepoint, SharePoint, or Teams is a plus.

Responsibilities

  • Provide day-to-day administrative support to office leadership and staff.
  • Coordinate meetings and manage calendars.
  • Order and manage office and kitchen supplies.
  • Coordinate food orders for meetings, committees, and company events.
  • Support travel coordination and scheduling.
  • Assist with internal event planning and office activities.
  • Coordinate building maintenance and vendor communication.
  • Assist with fleet management and vehicle rentals.
  • Support general office operations and ensure a well-functioning work environment.
  • Process weekly timesheets for approximately 70 employees.
  • Assist with accounts payable, including invoice receipt, coding, and data entry.
  • Support journal entries and cash receipts (data entry level).
  • Provide general accounting support including scanning, filing, and documentation.
  • Assist with maintaining accurate financial records within the ERP system.
