Requirements

  • Proven experience as an administrative assistant or in a similar role, preferably in architecture or design firms.
  • Excellent organizational and multitasking skills with strong attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong written and verbal communication skills.
  • Ability to manage confidential information with discretion and professionalism.
  • Ability to work independently and collaboratively within a team environment.
  • Strong problem-solving skills and ability to prioritize tasks effectively.
  • High school diploma or equivalent; additional qualifications in office administration or related fields preferred.

Nice To Haves

  • Familiarity with project management software and digital document management is a plus.

Responsibilities

  • Manage daily office operations including scheduling, correspondence, and communication.
  • Coordinate appointments, meetings, and project timelines for architects and designers.
  • Maintain and organize project documentation, contracts, and client records.
  • Serve as a primary point of contact for clients, vendors, and contractors.
  • Assist in preparing project proposals, presentations, and reports.
  • Support team members with administrative tasks to ensure project efficiency.
  • Process invoices, purchase orders, and assist with budget tracking.
  • Handle incoming phone calls and emails promptly and professionally.
  • Maintain office supplies and equipment inventory.
