About The Position

The Archdiocese of Denver is seeking a reliable, organized, and mission-driven Administrative Assistant to provide professional and mission-focused administrative support to Archdiocesan Committees, the Chief Human Resources Officer (CHRO), and the Chief Financial Officer (CFO). Requirements

  • Be a fully initiated Catholic in communion of the Catholic Church and intentionally living out the five precepts of the Church (CCC 2041 – 2043).
  • Align with the values and mission of the Catholic Church in an Apostolic Age.
  • Strong commitment to Catholicism and the New Evangelization, with the ability to collaborate, coordinate team efforts, and serve others in support of the Church’s mission.
  • High school diploma or equivalent required.
  • 2–4 years of administrative or office support experience preferred.
  • Experience with financial processing (invoices, expense reports, budget support) preferred.
  • Excellent attention to detail, follow-through, and ability to manage competing priorities.
  • Strong written and verbal communication skills, with experience preparing documents, agendas, or meeting materials.
  • Ability to work independently, respond promptly to changing needs, and exercise sound judgment.
  • Experience supporting multiple leaders simultaneously is helpful.

Responsibilities

  • Packet Preparation: Setting up folders, sending reminders to contributors, teeing up documents for revision (Memo, Agenda, Minutes, Summary, Dividers), workflow communication through approval process, final document formatting, and emailing committee members.
  • Compiling summary drafts for AFC.
  • Reporting: Quarterly IRFT report to depositors, yearly audit of minutes, yearly archiving of minutes to Karyl, annual letter to Bp. Berg, monthly IC Scorecard reporting (4 groups), yearly COI report, and Annual Report Listing.
  • Membership: Maintaining contact info on members, preparing Onboarding/offboarding letters and decrees, sending reminders on term endings, maintaining information on board/committee membership requirements, coordinating onboarding meetings and providing background materials, invitation for Christmas party assistance, collecting Conflict of Interest forms, and answering questions and providing help as needed.
  • Calendaring: Working with principals on annual meeting schedules (AB, VG, COO, CFO, Chairs, Key Staff), sending invitations, updating invitations with Teams info and member changes, working with Events and HTC on scheduling and meals, coordinating HTC or alternate conference rooms, and scheduling tech help as needed.
  • Meetings: Requesting printed copies or other needs from the Events team, attending meetings via Zoom, noting follow-ups and deliverables, assisting members with materials access and Zoom issues.
  • Attendance: Preparing minutes.
  • Record Keeping: Managing Teams recordings (sending, scheduling & deleting), maintaining and updating procedure descriptions, making required changes to meeting minutes after meetings, archiving copies of final documents, and maintaining files for each committee's activities (Teams and SharePoint).
  • Executive & Calendar Support for CFO and CHRO: Providing day-to-day administrative support, including calendar and meeting coordination, correspondence and document preparation, expense reports and approvals, and tracking action items and deadlines.
