About The Position

In support of the Pediatric Transplant and Cellular Therapy (PTCT) clinical program, this position will primarily be focused on administrative work related to the daily care of patients (i.e. accepting and distributing faxes, patient scheduling for unique programs like Transplant Survivorship, assisting to navigate certain patient support programs like lodging and travel, etc.). The position is 100% in-person, with most of the time spent at either the PTCT administrative offices or the Children’s Health Center Clinic, 4th Floor.

Requirements

  • High school education or equivalent.
  • Two years of administrative support experience of increasing variety and/or complexity
  • Creatively uses PC, word processing and other office tools.
  • Thorough knowledge of department policies, procedures, and goals.

Responsibilities

  • Serves as a primary point of contact for patients, families, and referring providers during business hours, including management of incoming calls and coordination of communication with the clinical team
  • Schedules patient appointments, follow-up visits, and specialized clinic programs within Pediatric Transplant and Cell Therapy services
  • Provides administrative support for multidisciplinary clinical programs, including survivorship and long-term follow-up initiatives
  • Assists patients and families with navigation of support resources, including lodging, travel, and other patient assistance programs
  • Receives, processes, and distributes incoming faxes, medical records, referrals, and other clinical documentation
  • Coordinates and maintains patient scheduling workflows, clinic calendars, and related administrative records
  • Supports care coordination activities by facilitating communication between patients, families, providers, and ancillary departments
  • Maintains accurate and timely documentation within electronic medical records and administrative systems
  • Assists with general office operations, including preparation of correspondence, forms, reports, and other departmental materials
  • Demonstrates professionalism, compassion, and excellent customer service when interacting with pediatric patients, families, and healthcare team members
  • Perform other related duties incidental to the work described herein.
