About The Position

ADMINISTRATIVE ASSISTANT (Entry-Level) Swartz Restoration & Emergency Services is Northwest Ohio’s premier provider of residential and commercial restoration and reconstruction services. When homes and businesses in Lima and the surrounding communities are impacted by fire, water, storms, or other unforeseen disasters, our team delivers rapid response, expert craftsmanship, and a high standard of customer care to help clients recover quickly and confidently. We are currently seeking a Full-Time, Administrative Assistant to play an integral role in coordinating office activities and supporting the operational efficiency of our growing team. Schedule: Monday-Friday, 7:30a-4:30p, no weekends, 40 hours per week The Administrative Assistant is essential to our business’ day-to-day operations, responsible for managing front-desk services, and supporting administrative functions across all departments. The ideal candidate is organized, proactive, accountable, and is interested in joining a dynamic, mission-driven organization.

Requirements

  • High school diploma or (GED) equivalent required
  • Valid driver’s license
  • Must be able to pass a criminal background check and drug screen.
  • A minimum of 2-3 years of administrative or clerical experience in an office environment
  • 2 years of proven customer service experience
  • Proficient in Microsoft Office (Word, Excel, Outlook, Google Suite)
  • Able to type 35 wpm minimum
  • Strong written and verbal communication skills
  • Upbeat, positive personality with a “Can Do” attitude
  • Strong organizational skills, accountable, proactive
  • Ability to work independently
  • Comfortable multi-tasking and prioritizing tasks without guidance
  • Professional appearance, disposition and demeanor
  • Excellent interpersonal skills and phone etiquette
  • Punctual with strong attendance history

Nice To Haves

  • Restoration or the Construction industry experience is preferred, but not required

Responsibilities

  • Greet and welcome visitors
  • Answer the telephone; provide information and assistance to callers, route calls to the appropriate team member, and take messages as necessary.
  • Communicate with vendors, subcontractors, and prospective clients
  • Manage/update calendars and schedule meetings via Google suite
  • Support project coordination and customer service processes
  • Order and maintain office and shop supplies as needed
  • Assist with office support, including running office errands, data entry, scanning, filing documents and other general administrative/clerical duties.
  • Completes special projects and assignments as required by management
