About The Position

The Legislative Services department has an opportunity for qualified individuals to apply for the Administrative Assistant position. Reporting to the Municipal Solicitor and Corporate Officer, this position offers 72 hours bi-weekly starting as soon as possible. The Administrative Assistant role provides administrative support to the Legislative Services Department (LSD) through the administration, collection, maintenance and retrieval of permanent physical and electronic legal records and corporate documents. The role is involved in coordinating the Community Enrichment Program, overseeing the organization-wide grant program, acting as the recording secretary for the Governance and Ethics Standing Committee of Council, preparing official documents for signing, coordinating the LSD training sessions and supporting the general administration of core services delivery of the LSD. This position also assists the Council Coordinator with Council Meeting tasks, including preparing the Council package and meeting coordination/preparation. This role also supports with organizing events, conferences and elections, as required.

Requirements

  • Grade 12 diploma
  • Courses in Administration, Local Government Management and/or Records Management
  • At least 3 years of experience in a similar role
  • Strong proficiency with Microsoft Office, SharePoint Online, Agresso and Adobe Acrobat Pro
  • Knowledge and experience with formal filing systems, records and information management principles and practices
  • Some knowledge of public administration and of the Local Government Act and Community Charter
  • Ability to apply LGMA records management best practices and train others
  • Excellent verbal and written communication skills
  • Professional and helpful individual with a high degree of tact, diplomacy, and discretion
  • Ability to maintain confidentiality
  • Proven abilities to handle urgent requests and work within firm deadlines

Responsibilities
