About The Position

The Administrative Assistant is responsible for managing employee onboarding and a broad range of administrative functions in a professional and confidential manner. This role supports WASI leadership across areas including HR administration, facilities coordination, inventory management, and employee engagement. The ideal candidate brings a positive attitude, strong customer service orientation, and exceptional attention to detail. They will be comfortable learning new systems quickly, working with sensitive information, and driving process-oriented outcomes.

Requirements

  • High school diploma or equivalent required; related experience preferred
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint); intermediate to advanced Excel skills required
  • Excellent verbal and written communication skills
  • Strong interpersonal and customer service skills
  • High attention to detail and organizational ability
  • Sound judgment and decision-making skills
  • Ability to prioritize and manage multiple tasks with a sense of urgency
  • Comfort working with sensitive and confidential information
  • Adaptability and openness to learning new tools and processes
  • Required company new hire training
  • Position-specific on-the-job training provided

Responsibilities

  • Onboarding & Offboarding Facilitate new employee orientation, ensuring complete and accurate paperwork, including background checks, SIDA badge applications, and badging
  • Manage pre-onboarding, onboarding, and new hire experience processes
  • Enter new hire data in ADP and coordinate with internal departments on new hire status
  • Maintain accurate employee records and support HRIS data management
  • Track and update performance reviews and maintain employee files
  • Ensure compliance with employment laws, regulations, and company policies, including E-Verify and I-9 compliance, and required government reporting
  • Assist with the administration of the company benefits program
  • Organize and oversee cleaning of administrative offices
  • Maintain promotional materials (soft goods) inventory and reorder as needed
  • Maintain company uniform inventory and assist with ordering
  • Develop and manage scheduled inventory audits and reorder methodology for kitchen supplies, cleaning materials, office supplies, and preprinted forms
  • Maintain and report weekly employee attendance
  • Prepare and distribute the Monthly Manpower (Production/Support) Report
  • Provide front desk reception backup coverage as needed
  • Participate in weekly Employee Engagement Committee meetings and assist in organizing events, surveys, and recognition programs
  • Ensure a welcoming and productive environment for clients and their representatives
  • Provide administrative support to the Director of MRO Services, Manager of Accounting, MRO Business Manager, and Inventory Control Manager as needed
  • Perform all other duties as assigned
