About The Position

Sutter Medical Group (SMG) is seeking a dynamic Administrative Assistant to join their Administrative Services team in Sacramento (Natomas). This is a hybrid position, combining in-person and remote work. The Administrative Assistant will provide comprehensive administrative support to SMG's leadership teams, departments, and committees. This role is part of a medical group with over 1,000 clinicians dedicated to providing high-quality, efficient, and compassionate patient-centered healthcare to a diverse patient population. The position involves providing professional clerical and administrative support, adhering to standard work and best practices, prioritizing information and requests, and coordinating with internal and external constituents. The role requires discretion and judgment when handling confidential and sensitive information. The Administrative Assistant will partner with SMG Administrative Services team members, leadership, and clinicians to ensure timely task completion, meet team objectives, and provide administrative support. Specific duties include arranging and providing calendaring support, scheduling assistance, assisting with time and expense reporting, coordinating and assisting in the onboarding process for new clinicians, running meetings (in-person and virtual) with logistical, pre, and post-meeting support, assisting with communications (creating, proofing, editing, and finalizing correspondence, reports, and presentations), prioritizing assignments and working within standardized processes to achieve objectives and meet deadlines, and working both independently and collaboratively with team members to build relationships for day-to-day operations.

Requirements

  • Possess written and verbal communications skills to communicate with fellow team members, supervisors, patients, and other personnel.
  • Well-developed time management and organizational skills, including the ability to prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines.
  • Basic knowledge of computer applications, such as Microsoft Office Suite (Word, Excel, and Outlook), EPIC, and related information systems.
  • Interpret a variety of data and instructions, furnished in written, oral, diagram, or schedule form.
  • Prioritize assignments and work within standardized policies and procedures to achieve objectives and meet deadlines.
  • Work independently, as well as be part of the team, including accomplishing multiple tasks in an environment with interruptions.
  • Identify, evaluate, and resolve standard problems by selecting appropriate solutions from established options.

Responsibilities

  • Provides a variety of professional clerical and administrative support to the SMG Administrative Services team.
  • Adheres to standard work and best practices to complete tasks in a timely manner.
  • Prioritizes information and requests and coordinates with internal and external constituents to coordinate responsibilities of department wide scope.
  • Partner with SMG Administrative Services team members and SMG Leadership and Clinicians to ensure timely completion of assigned tasks, meet team objectives, and provide administrative support.
  • Arrange and provide calendaring support, scheduling assistance and assist with time and expense reporting.
  • Coordinate and assist in the onboarding process for new clinicians.

  • Assist with communications including, creating, proofing, editing and finalizing correspondence, reports and presentations.

  • Work independently, as well as be part of the team, building collaborative relationships on day-to-day operations.
  • Ensure the privacy of each patient’s protected health information (PHI).
  • Build collaborates relationships with peers and other staff members to achieve departmental and corporate objectives.
