About The Position

Waukesha County's Department of Health & Human Services is recruiting for a talented Administrative Assistant. This position provides front desk reception and mailroom support for the Department of Health and Human Services at the Human Services Center building, as well as administrative support to the Economic Support Unit. This position includes processing incoming and outgoing mail, checking multifunction devices for documentation such as faxes, going on courier rounds to other County facilities, greeting visitors, answering phones, responding to and interacting with the public, as well as serving as a source of information for staff and the public.

Requirements

  • Ability to type 40 WPM.
  • Valid license and reliable transportation are required.
  • Applicants must be currently authorized to work in the United States on a full-time basis.

Nice To Haves

  • Hours outside of scheduled 8:00 AM to 4:30 PM hours may be required.
  • Performs other duties as apparent or assigned.

Responsibilities

  • Accept and scan all incoming ESS verification documents.
  • Answer and transfer calls using a multi-line phone system.
  • Provide information and referral to other departments and outside agencies.
  • Ability to take payments using an electronic cashiering system.
  • Check in clients and direct to proper area of the building.
  • Page staff in the building.
  • Research client information using the Avatar system.
  • Heavy use of the Outlook calendaring system.
  • Provide full backup coverage to the ESS Administrative Specialist position.
  • Troubleshoot office equipment.
  • Various mailing projects.
  • Check the multi-function device for incoming documents and route appropriately.
  • Prepare and/or process incoming and outgoing mail.
  • Accept deliveries received at the Human Services Center and route appropriately.
  • Drive to other County facilities as a courier.
  • Follows and adheres to County policies, procedures and federal, state, and local regulations.
