About The Position

The Administrative Assistant provides critical support to multiple departments by performing a wide range of administrative tasks that help create, update, and maintain accurate documentation. This role focuses on organizing training materials, managing documentation systems, and ensuring that records are current, complete, and compliant with internal procedures.

Requirements

  • Administrative support experience, preferably in an industrial or plant-based setting.
  • Proficiency with Microsoft Excel, including entering, updating, and managing data in spreadsheets.
  • Ability to work with documentation software such as Roxtra to update records and manage approvals.
  • Strong attention to detail and accuracy when creating, editing, and maintaining documentation.
  • Ability to take clear, comprehensive notes and interpret information for inclusion in formal documents.
  • Organizational skills to manage multiple documentation tasks and priorities across departments.
  • Comfort working in an environment connected to an industrial plant, including adherence to required safety footwear.
  • Effective written communication skills for preparing and updating training materials and SOPs.

Nice To Haves

  • Prior administrative experience in an industrial or manufacturing setting.
  • Experience maintaining standard operating procedures and other controlled documents.
  • Familiarity with electronic documentation systems and workflows for approvals and signoffs.
  • Ability to collaborate with staff at various levels to gather information and clarify documentation needs.
  • Dependability and flexibility to support departmental needs across different shifts within standard weekday hours.

Responsibilities

  • Support departmental Key Performance Areas (KPA) by organizing, maintaining, and updating training documentation.
  • Complete documentation updates in Roxtra and manage document signoffs to ensure records are accurate and properly approved.
  • Maintain department documentation, including pressing standard operating procedures (SOPs), and ensure they are current and accessible.
  • Enter, update, and manage information in Microsoft Excel and other electronic systems with a high level of accuracy and attention to detail.
  • Take detailed notes during meetings or training sessions, interpret the information, and translate it into clear, accurate documentation.
  • Review existing documentation for accuracy, completeness, and consistency, and make corrections or updates as needed.
  • Collaborate with departmental staff to gather information required for documentation and follow up to ensure timely completion.
  • Organize and store electronic and physical documents in a structured manner to support easy retrieval and audit readiness.
  • Adhere to established documentation standards, procedures, and timelines to support departmental and plant objectives.
