We are seeking an organized and dependable Administrative Assistant to provide clerical and administrative support ton our Lebanon Pines campus— playing an essential role in keeping daily operations running smoothly and ensuring clients and staff are well supported.

Requirements

  • High School Diploma or GED required
  • one to three years of related experience
  • Valid Driver's License with the ability to drive a company vehicle required
  • Proficiency with Microsoft Office Suite and applicable software
  • Strong organizational and time management skills, with the ability to prioritize tasks and maintain an organized physical and electronic environment
  • Friendly, patient, and empathetic approach when interacting with clients and colleagues
  • Ability to work both independently and collaboratively in a fast-paced environment
  • Commitment to trauma-informed care, recovery-oriented practice, and SCADD's values of diversity, equity, and inclusion

Responsibilities

  • Orient clients to office hours, program rules, and the availability and limitations of program services
  • Perform administrative support tasks including filing, record keeping, answering calls, faxing, checking email, and ordering, organizing, and managing office supplies
  • Maintain and stock inventory and supplies
  • Receive, sort, and distribute mail
  • Communicate, consult, and coordinate client care with other providers as needed
  • Perform data entry into the agency Electronic Health Record (EHR) system as needed, including insurance verification and address verification
  • Complete applications for client participation in state assistance programs
  • Set up in-person and virtual appointments and follow-up appointments as directed
  • Notify clients of upcoming appointments
  • Arrange transportation for all non-emergent appointments, including coordination through Veyo
  • Secure all payor authorizations for services provided through the facility, including insurance and food stamp verification and authorization
  • Transport and deposit funds; Maintain appropriate documentation and supporting financial recordkeeping procedures.
  • Perform various administrative tasks, as assigned.
