About The Position

The Administrative Assistant provides comprehensive administrative and operational support and serves as a key resource for organizational coordination. Reporting to the Office Administrator, this position supports daily operations, maintains records, assists with departmental projects, coordinates meetings and events, and ensures efficient communication across departments. The ideal candidate demonstrates professionalism, sound judgment, confidentiality, and exceptional customer service while supporting the organization’s commitment to operational excellence.

Requirements

  • At least 60 college-level credit hours.
  • Three years of clerical, administrative, or transaction-processing experience.
  • Must possess and maintain a valid Florida driver’s license.
  • Proficiency with Microsoft Office 365 (Word, Excel, Outlook, PowerPoint, Teams).
  • Proficiency with Electronic document and project management systems.
  • Proficiency with Video conferencing platforms.

Nice To Haves

  • Equivalent combinations of education, training, and experience may be considered.
  • Experience supporting multiple managers or departments preferred.
  • Experience in government, public sector, or a professional office environment preferred.

Responsibilities

  • Provide administrative support by preparing documents, managing calls and emails, monitoring shared inboxes, scheduling meetings, and preparing agendas and minutes.
  • Assist with departmental operations by coordinating processes, maintaining records and inventories, managing supplies and vendor communication, supporting facilities and maintenance requests, monitoring projects, and maintaining confidentiality and compliance.
  • Coordinate internal meetings, trainings, events, and support organizational initiatives and special projects.
  • Deliver excellent customer service by greeting visitors, directing inquiries, and maintaining a professional and welcoming office environment.
  • Participate in departmental and organizational meetings.
  • Cross-train to support other departments as needed.
  • Perform additional duties as assigned.
