This role provides executive-level administrative and coordination support across multiple leaders, initiatives, and stakeholders. Requirements

  • 2–5+ years of administrative or administrative assistant experience
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Teams, PowerPoint)
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience coordinating calendars and meetings
  • Experience preparing documentations
  • Highly organized and detail-oriented
  • Professional and dependable
  • Proactive with strong follow-through

Responsibilities

  • Manage complex executive calendars, scheduling, and meeting coordination across multiple leaders
  • Coordinate executive travel arrangements and logistics
  • Prepare agendas, meeting materials, presentations, and follow-up documentation
  • Draft and support executive communications, correspondence, and documentation
  • Maintain organized administrative files, records, and documentation
  • Support logistics and administrative coordination for operational initiatives and projects
  • Track action items, follow-ups, and administrative deliverables
  • Assist with onboarding coordination and team administrative activities
  • Support reporting, document formatting, and presentation preparation
  • Serve as a professional point of coordination across leaders, departments, and stakeholders
  • Ensure alignment on schedules, communications, and meeting readiness
  • Handle sensitive information with a high level of confidentiality and discretion
  • Promote organization, professionalism, and operational efficiency
  • Anticipate needs and proactively support leadership priorities
  • Help maintain consistency in administrative processes and workflows
