About The Position

The Administrative Assistant will provide comprehensive support to OSHA's Office of the Assistant Secretary and National Office Directorates. The role involves a wide range of administrative tasks to ensure smooth operations and efficient management of office functions.

Requirements

  • At least 5 years of relevant administrative experience, or a Bachelor's degree plus 2 years of relevant experience.
  • Proficiency in Microsoft Office Suite (2016) and office equipment. Strong organizational and communication skills.
  • Ability to manage multiple tasks efficiently and accurately in a fast-paced environment.
  • Must be able to work onsite in the District of Columbia Monday - Friday.
  • U.S. Citizen.
  • Acceptable background check including criminal history background check and credit Check.

Responsibilities

  • Manage and coordinate meetings, conferences, and teleconferences. Oversee the office events and leave calendar.
  • Handle accounts payable invoices and set up accounts payable invoices in the Department of Labor's New Core Financial Management System (NCFMS) in compliance with federal guidelines.
  • Review and update OSHA Directives using Microsoft Word and Excel. Update records in the Archives and Records Centers Information System (ARCIS). Maintain training records in the Learning Link system.
  • Process and expedite controlled agency correspondence using the Correspondence Tracking System (CTS). Ensure correspondence quality and readability.
  • Manage incoming and outgoing calls, provide information to callers, and direct calls as needed. Greet visitors and handle general office inquiries.
  • Create and manage databases, and maintain both paper and electronic filing systems. Handle document editing, record-keeping, and correspondence.
  • Attend meetings, provide summaries, and prepare conference or event materials.
  • Operate and maintain office equipment including scanners, copiers, and fax machines. Arrange repairs and manage office supplies.
  • Format, proofread, edit, and manage document information. Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook) and other office tools.
  • Make travel arrangements, reservations, and prepare travel vouchers using the E2 Travel system, adhering to federal regulations.
