About The Position

Community Group Inc., an Associa company, is hiring an Administrative Assistant for its corporate office in Glen Allen. This is an onsite role working Monday - Friday, 8am-5pm. The position involves back office tasks, managing phones and emails, and responding to inquiries in-person, by phone, and email. Responsibilities include issuing various passes and fobs, handling mail and packages, data entry, issuing violation letters, assisting with maintenance requests and work orders, preparing board packages, coordinating board meetings, creating and sending mass communications to homeowners, assisting homeowners with payments and account research, and helping with architectural review forms. The role also involves assisting with other projects as assigned.

Requirements

  • 2+ years of office support, clerical support, or administrative assistant experience in a corporate or office environment.
  • Customer service driven and team oriented.
  • Excellent communication skills (written and spoken) with knowledge of conflict resolution techniques.
  • Well versed in Microsoft Office Suite (Word, Excel, Outlook).
  • Proactive, takes initiative, attention to detail, and meet time sensitive deadlines.

Responsibilities

  • Manage phones and emails.
  • Research and respond to inquiries in-person, by phone, and email.
  • Activate and issue pool passes, parking passes, and key FOBS.
  • Receive, sort, log, and distribute mail and packages.
  • Data enter and update information in the database; record and track documents and information.
  • Issue violation letters to homeowners and follow-up to ensure corrected.
  • Assist with maintenance requests and work orders; schedule and coordinate maintenance vendors and contractors for work to be done onsite.
  • Assist in preparing board packages.
  • Coordinate and schedule monthly and annual board meetings.
  • Create and send out weekly mass communications by mail and email to homeowners notifying them of maintenance onsite, HOA guidelines, and community events.
  • Assist homeowners with monthly payments, researching accounts and delinquencies.
  • Assist homeowners in completing architectural review forms and follow-up with homeowners on the Board’s decision.
  • Assist with other projects as assigned.
