About The Position

The Administrative Assistant supports management and other employees through the performance of routine clerical and administrative functions. The Administrative Assistant serves as an initial point of contact for callers and visitors and should be familiar with the field’s concepts, practices, and procedures.

Requirements

  • High school diploma or equivalent required.
  • One (1) year in the administrative or related fields required.
  • Effective verbal and written communication skills.
  • Excellent customer service skills.
  • Ability to work in a fast-paced environment.
  • Proficient with Microsoft Office Suite.
  • Highly organized.

Nice To Haves

  • Associate’s or bachelor’s degree preferred.

Responsibilities

  • Answer the telephone and greet guests. Handle their inquiries, take messages, or transfer callers to the appropriate individuals according to their needs.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Enhance organization through the use of office calendars, scheduling meetings and appointments as necessary.
  • Perform administrative activities, such as systemizing and maintaining filing systems, data entry and processing paperwork.
  • Assist with payroll and/or billing.
  • Assess supply inventory, place orders for anticipated needed supplies, verify receipt of supplies, and correct the supply inventory logs.
  • Effectively communicate with supervisors, co-workers, and subordinates by telephone, in writing, e-mail, or in person.
  • Arrange travel and generate itineraries as needed.
