About The Position

Performs a variety of routine and complex clerical, administrative, and support duties for the Clerk & Recorder’s Office. This role involves processing mail, documents, and accounts payable, maintaining confidentiality of sensitive information, managing office supplies, digitizing records using computer software, creating and filing public notices, assisting with travel arrangements, and supporting finance and administrative tasks. The position also includes answering telephone calls, providing customer service, assisting with Board of County Commissioner meetings, and potentially acting as a backup for the Office Administrator.

Requirements

  • High School Diploma or equivalent.
  • One year of administrative or reception experience with proficient computer skills in Microsoft Office programs.
  • Valid driver’s license.
  • Must obtain State certification within one year of hire.
  • Ability to work with sensitive and confidential information maintaining confidentiality.
  • Proficient in communication, and able to communicate using the English language, including written, verbal, or other communication channels as required by the position.
  • Ability to utilize the technology required of the position and demonstrates a willingness to learn new technologies as required.

Responsibilities

  • Processes incoming and outgoing mail.
  • Prints, copies, assembles, distributes, and files documents.
  • Processing accounts payable.
  • Distribute offices supplies, packages, and mail to all program areas.
  • Keeps all supply and work rooms organized and supplied with office products and first aid supplies.
  • Uses computer and specialized software to digitize records, scan and enter data, search databases, conduct research, create documents, send emails, and file electronically.
  • Create, post, and file public notices adhering to state and local statutes.
  • Assists with travel arrangements for staff.
  • Works with the Finance department to print accounts payable and payroll weekly.
  • Answers telephone calls, assesses situations and provides the public and internal customers with directions and other customer services.
  • Assists the Office Administrator in Board of County Commissioner (BoCC) meetings, records minutes, and obtains required signatures.
  • Assists Clerk & Recorder staff with various administrative and support tasks as assigned.
  • Acts as a backup for the Office Administrator as requested.
  • Other duties as assigned.
