About The Position

The Clinic Administrative Assistant provides high-level administrative support to the Executive Director of Clinic Services and other clinic leaders. This role involves managing multiple tasks and projects with strong organizational, communication, and problem-solving skills to ensure smooth clinic operations. Collaborate with Medical Staff Services to manage the administrative needs of providers and oversee the scheduling of the Executive Director of Clinic Services and other leadership team members. Demonstrate initiative in managing multiple projects, using strong analytical skills to prioritize tasks effectively. Arrange travel, register for training courses, and process expense reimbursements for clinic leadership. Assist with staff scheduling, payroll processing, monthly audits, and other clerical tasks as needed. Schedule and organize meetings, prepare materials, and take accurate meeting minutes. Oversee the scheduling of student clinical rotations. Manage provider onboarding processes, including licensure, orientation, and other relevant requirements. Assist with policy maintenance and prepare affiliation letters for external organizations. Handle patient notification letters as directed. Communicate effectively, both orally and in writing, handling confidential and sensitive information with discretion. Build and maintain strong, professional relationships with internal and external stakeholders. Demonstrate advanced proficiency in Microsoft Office programs and the ability to quickly learn new software as needed.

Requirements

  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Flexibility and a team-oriented approach, with a commitment to personal excellence and continuous improvement
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, etc.) is required
  • High school diploma or equivalent
  • Three to five years# experience in similar or related field
