About The Position

We are seeking a sharp, highly organized, and resilient Administrative Assistant to serve as the operational backbone of our Sault Ste. Marie site. This isn't a slow-paced desk job. You will work closely with site and regional leadership to keep our daily operations running smoothly. From managing payroll data and operational tracking reports to tackling ad-hoc operational projects, you will be the go-to person who keeps the branch organized, accountable, and moving forward. Requirements

  • 2+ years in an administrative, office coordination, or operational support role (experience in logistics, industrial, construction, or transport industries is a major plus).
  • Excellent organizational skills with the ability to multitask, reprioritize on the fly, and manage shifting deadlines.
  • Comfortable working in a fast-paced, hands-on industrial environment alongside dynamic leadership.
  • High ownership mindset with the flexibility to handle urgent operational requests as they arise.
  • Strong proficiency with Microsoft Office Suite (Excel, Word, Outlook) and comfortable adapting to new ERP/payroll systems.
  • High degree of ethics, confidentiality, and sound judgment when handling sensitive business data.
  • Valid work authorization in the country where the job is located is required.

Nice To Haves

  • Experience in logistics, industrial, construction, or transport industries is a major plus.

Responsibilities

  • Provide administrative support to site leadership, managing working files, correspondence, and daily operational priorities.
  • Prepare and distribute key operational tracking reports (e.g., Roll-Off Trend Reports, Fuel Usage, Commodity Reports, and inventory metrics).
  • Take ownership of administrative sub-projects, coordinating meetings, training workshops, and site initiatives from start to finish.
  • Assist with the timely and accurate submittal of payroll timesheets, process branch invoices/POs, and support basic general ledger entries.
  • Maintain digital and physical contracts, bids, and proposals in accordance with company policy, while assisting with safety record maintenance.
  • Manage incoming/outgoing mail, manage office supplies, and provide occasional customer service support for local branch needs as required.
  • Perform other operational duties as assigned by leadership.
