About The Position

NOVA® Financial Services is a full-service, independent financial services firm – We are an independent Registered Investment Adviser, offering fee-based portfolio management and other products when working with our clients. Since our launch in May of 2009, our goal has been to provide our clients a customized approach to our their financial planning needs. We have offices located in Arizona and Colorado, but assist clients all over the country with their financial services needs. The Administrative Assistant performs a wide range of clerical and administrative duties to support the day-to-day operations of the branch and/or the Financial Advisor. This role serves as the primary point of contact for vendors, visitors, clients, prospective clients, and employees, both by phone and in person. The successful candidate must be able to manage multiple priorities efficiently while maintaining a high level of accuracy and attention to detail. This position requires a consistently professional demeanor, strong organizational skills, and the ability to represent the organization positively at all times. This is a part-time position. The successful incumbent will be expected to work in-office at our Colorado Springs location. Remote or hybrid schedules are not available for this position.

Requirements

  • High school diploma or GED required.
  • Minimum of one (1) year of administrative experience required.
  • Knowledge of general office procedures and administrative practices.
  • Demonstrated proficiency with computer applications, including Microsoft Word, Excel, and Outlook.
  • Skill in operating a variety of office equipment, including personal computers, telephones, and copiers.
  • Strong attention to detail across all areas of responsibility, including data entry and written and verbal communications.
  • Ability to work independently as well as collaboratively within a team environment.
  • Proven ability to maintain a high level of confidentiality and discretion.
  • Excellent time management, organizational, and multitasking skills, with the ability to maintain accuracy under deadlines.
  • Excellent verbal and written communication skills.
  • Strong customer service orientation with a professional and courteous demeanor.

Nice To Haves

  • Experience working in a high call volume office environment preferred, but not required.

Responsibilities

  • Answer incoming phone calls, provide assistance as appropriate, and route calls to the correct individual or department.
  • Make outgoing calls to follow up with prospective clients regarding appointments or attendance at classes or events.
  • Greet and assist clients, vendors, visitors, and employees upon arrival at the location.
  • Coordinate all TNT and courier packages with the NOVA Expediting Department.
  • Prepare and process outgoing overnight and FedEx packages, as well as applicable mailings.
  • Assist with the preparation and editing of documents, including but not limited to Microsoft Word, Microsoft Excel, and Adobe PDF files.
  • Provide support for company announcements, events, and other marketing-related activities.
  • Perform scanning, copying, filing, and other general administrative duties as needed.
  • Perform heavy data entry with a high degree of accuracy.
  • Perform other duties as assigned.
