About The Position

We are hiring an Administrative Assistant to work out of our Newport Beach Office! This role involves planning office events, cultivating office culture, managing mail and package delivery, maintaining office spaces, and assisting with various projects and administrative tasks. The position requires excellent organizational skills, proficiency in Microsoft Office Suite, a self-starter attitude, strong communication skills, and 1-3 years of applicable experience supporting an office with administrative duties. Experience in the AEC industry is strongly preferred.

Responsibilities

  • Plan exciting events for the office and company.
  • Cultivate the office culture for internal and external clients.
  • Work alongside all admins throughout the company to create a consistent and exciting office experience.
  • Own the incoming and outgoing mail and package deliver process for the office.
  • Fill out letters of transmittal as needed.
  • Maintain the office kitchen and conference rooms, ensuring a high level of detail for a presentable office space.
  • Assist with ordering insurance certificates as needed.
  • Assist accounting with invoice backup.
  • Help with miscellaneous projects and tasks for the office and company as needed.
