About The Position

This role provides administrative support to the Director of GBS and General Manager, FTS and their teams. The position supports day‑to‑day operations by assisting with coordination, organization, and communication activities, following established procedures and guidance. The role requires strong organizational skills, attention to detail, professionalism, and the ability to work collaboratively in a fast‑paced, matrixed environment. Confidentiality and reliability are essential.

Requirements

  • High School Diploma or equivalent.
  • Minimum of 5 years of experience in an administrative, coordination, or business support role at a medium sized or larger company.
  • Working knowledge of Microsoft Office and Microsoft 365 tools (Outlook, Teams, OneDrive, Excel, PowerPoint).
  • Ability to manage multiple tasks with accuracy and attention to detail.
  • Clear written and verbal communication skills.

Nice To Haves

  • Experience providing administrative or coordination support in a corporate environment.
  • Exposure to reporting, data tracking, or workflow tools (e.g., Power BI, Power Apps) is a plus but not required.
  • Experience working in a team‑based or matrixed environment.
  • 10+ years of experience in an administrative, coordination, or business support role at a medium sized or larger company.

Responsibilities

  • Provide administrative support to senior executive leaders and their teams, including calendar coordination, meeting scheduling, and basic logistics for in‑person and virtual meetings, following established processes and guidance.
  • Assist with the coordination of internal and external meetings, events, and workshops, including meeting rooms, catering requests, and related logistics.
  • Support routine travel coordination activities, including itinerary preparation, required documentation, and expense tracking, in line with company guidelines.
  • Maintain accurate and well‑organized digital and shared files using Microsoft 365 tools such as Outlook, OneDrive, Teams, and SharePoint.
  • Serve as a point of contact for internal and external stakeholders, ensuring timely, professional, and courteous communication.
  • Prepare routine correspondence, meeting materials, agendas, and basic presentations using standard templates and guidance.
  • Track action items, follow‑ups, and information requests to support timely completion of assigned tasks.
  • Use Microsoft 365 tools to support administrative processes and day‑to-day team needs.
  • Learn and utilize available tools or systems (where applicable) to support basic reporting, workflows, or data visibility.
  • Follow established practices when handling sensitive and confidential information, ensuring accuracy and discretion.
  • Demonstrate attention to detail when managing assigned tasks, deadlines, and multiple requests.
  • Adapt to changing priorities and business needs with a positive, solutions‑oriented mindset.
