About The Position

St. Mark Church is seeking a part-time administrative assistant to manage day-to-day administrative tasks with attention to detail and discretion, and to provide support to the staff and pastor. The ideal candidate will have excellent interpersonal skills, a willingness to serve, proficiency in Microsoft Office, and experience in database management and record-keeping. This role requires problem-solving abilities, strong communication skills, and impeccable attention to detail. Experience in an office environment, performing administrative tasks, managing calendars, and supporting staff is essential. The ability to multitask, manage complex schedules, and meet changing deadlines is also crucial.

Requirements

  • High school diploma or equivalent.
  • Excellent written and verbal communication skills.
  • Excellent organizational and multitasking skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience with database management, calendar management, and record-keeping.
  • Ability to handle sensitive information with discretion.
  • Excellent interpersonal skills and the ability to work well with a diverse group of people.
  • Ability to collaborate and communicate effectively with clergy, staff, parishioners, and the general public.
  • Detail-oriented and able to work independently.
  • Ability to manage time effectively and prioritize tasks.
  • Strong critical-thinking and problem-solving skills.
  • Five years of experience in an administrative support role and office coordination is required.
  • Must model Christian attitudes and behaviors and adhere to the Archdiocesan Code of Conduct.

Nice To Haves

  • Associate or bachelor’s degree preferred.
  • General knowledge of the Catholic Church preferred but not required.

Responsibilities

  • Assist the Pastor with Liturgy and Worship, including ensuring operational preparation, preparing and coordinating the clergy schedule, preparing Mass cards, and assisting with letters and correspondence.
  • Assist the Director of Evangelization by ensuring complete preparation for faith formation programs and accurate completion of sacramental paperwork.
  • Support the Director of Youth Ministry and the Director of Outreach with the seamless operation of their programs.
  • Assist with Parish Operations, including directing calls, greeting visitors, managing mail and deliveries, preparing mailings, ordering supplies, producing the weekly bulletin, and sending thank-you letters.
  • Input, update, and maintain parish records in Ministry Platform (the Archdiocese’s database software).
  • Perform other administrative tasks as needed.
  • Other duties as assigned.
