About The Position

IAM Hourly represented employees who currently work at the main (Sunnyvale/Palo Alto) unit, Santa Cruz, Vandenburg Air Force Base or Eastern Range facilities must apply to open requisitions on Brass Ring to be considered for the position. Provide administrative support to an organization and its managers. Work with senior external and internal management/customers, and collaborate with associated program managers and other staff. Compose letters and emails, follow-up on open action items, schedule and arrange meetings, and exercise discretion and judgment in promotion of good departmental and Company relations. Provide administrative support to an organization, including time card preparation, travel arrangements, expense reporting and maintenance of departmental records. Compile and complete internal and external correspondence. Ensure all correspondences are accurate, complete and properly handled. Utilize personal computer and standard desktop software to access systems, compose correspondences, operate SharePoint sites, spreadsheets and reports using Microsoft Office. Maintain calendars as required. Prepare materials and schedule, organize and support meetings and activities as required. Using your initiative, discretion and tact, receive and handle email, telephone calls and other requests. Submit online requests and set up video teleconferences and conference rooms. Supports in person and online meetings, keep track of minutes and action items. Upload presentations to multiple databases or local department folders to ensure all parties have access to meeting notes and presentations. Support Department as “Area Training Coordinator” (ATC) to ensure all employees in the organization are up-to-date in training. Send out regular emails reminding employees of training deadlines. Responsible for adding new users and removing users from file folders, secured folders and department distribution lists. Perform annual updates to ensure employees still require this specific access. Assist Building Managers in submitting appropriate work orders for any building need requests such as hanging white boards, sit stands, printer issues, etc as needed. Support Eastern Range as point of contact in partnership with the salaried, nonexempt admins for events such as blood drives, flu shots and all hands meetings. Receive, scan, distribute mail and office supplies and promotional items. Establish and maintain a document, which includes a list of assigned duties and related information for reference purposes in incumbent’s absence. Proofread all documents produced to ensure completion and accuracy. Distribute work and review completed work as specifically authorized by supervision. This position is located at a facility that requires special access. Must be a U.S. Citizen.

Requirements

  • Experience with Microsoft Office Suite (Outlook, Word, Excel, and Power Point).
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Must be a U.S. Citizen.

Nice To Haves

  • Complete knowledge of still cameras, still camera techniques and subject composition. Knowledge of image processing software and different image file types.
  • Ability to set up and operate the necessary equipment in order to record quality images and apply corrective techniques using industry standard processing software to ensure an optimum quality final product.
  • Must possess a valid State of Florida driver’s license.
