Job Overview The Administrative Assistant / Front Desk Coordinator, reporting to the Office Manager, is responsible for supporting daily office operations and serving as the first point of contact for visitors, customers, and internal teams. This role ensures smooth front desk operations while providing administrative and operational support across departments. This position plays a key role in maintaining organization, supporting customer communication, and ensuring accurate documentation and data entry. The Administrative Assistant / Front Desk Coordinator works closely with Operations, Dispatch, and Office leadership to support day-to-day execution and overall office efficiency.

Requirements

  • High school diploma or equivalent required
  • 2–3+ years of administrative or office support experience preferred
  • Experience in transportation, logistics, or service-based industries preferred
  • Bilingual (English/Spanish) preferred
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong organizational and time management skills
  • Strong communication and customer service skills
  • Ability to multitask and work in a fast-paced environment
  • Strong attention to detail and accuracy
  • Ability to sit for extended periods while working at a computer and using standard office equipment
  • Ability to communicate effectively, both verbally and in writing
  • Ability to occasionally stand, walk, and move within an office environment
  • Ability to occasionally lift and/or move up to 15–20 pounds

  • Experience in transportation, logistics, or service-based industries preferred

Responsibilities

  • Serve as the first point of contact for incoming calls, visitors, and general inquiries, directing appropriately
  • Answer phones, transfer calls, take messages, and route communication to the appropriate department
  • Schedule and coordinate appointments, meetings, and basic job-related activities as needed
  • Collect, organize, scan, and distribute documents to the appropriate departments
  • Support manifest processing, including stamping, organizing, scanning, filing, and distribution as required
  • Research and follow up on missing or incomplete documentation, including manifests
  • Respond to customer inquiries and provide timely, professional support
  • Enter and maintain data in tracking systems, spreadsheets, and internal reports
  • Assist with daily administrative tasks to support the office and operational teams
  • Maintain organized filing systems (physical and digital)
  • Support special projects and additional administrative duties as assigned
  • Other duties as assigned
