About The Position

Unity House of Troy is seeking a highly organized, dependable, and service-oriented Administrative Assistant to support the day-to-day operations of our Property Department. This role is for someone who will provide administrative support and keep multiple priorities moving for our Property Department.

Requirements

  • High school diploma or GED required
  • Clean & valid NYS Driver License required

Nice To Haves

  • Previous experience in property management, affordable housing, supportive housing, or a housing-related administrative role.
  • Familiarity with Low-Income Housing Tax Credit (LIHTC) properties and compliance requirements.
  • Experience working with HUD, HCR, or other affordable housing programs.
  • Experience with property-management or housing software.
  • Experience working with tenant files, income certifications, recertifications, leases, inspections, or housing applications.
  • Knowledge of Fair Housing requirements and affordable housing compliance practices.
  • Experience in affordable housing or LIHTC property management is highly valued, but we will consider candidates with strong administrative, customer service, and organizational experience who are eager to learn.

Responsibilities

  • Manage multiple priorities, including leases, tenant files, inspections, applications, invoices, work orders, and important deadlines.
  • Communicate professionally and respectfully with tenants, applicants, vendors, contractors, staff, and community partners.
  • Thoroughly review paperwork and records, identify missing or incorrect information, and follow up on outstanding documentation and compliance requirements.
  • Take ownership of requests and issues from the initial inquiry through completion.
  • Distinguish between an emergency maintenance concern, a critical compliance or lease deadline, and routine matters that can be addressed later.
  • Remain professional, patient, and helpful when working with tenants, applicants, and others, including during challenging or sensitive situations.
  • Demonstrate sound judgment when handling tenant financial information, housing applications, personal information, employee information, and other confidential records.
  • Use email, Microsoft Office, spreadsheets, electronic filing systems, online applications, property-management software, and other technology to support daily operations.
  • Identify issues, research potential solutions, take appropriate action, and know when a matter should be escalated to the Property Manager or other appropriate staff.
  • Work collaboratively with Property Managers, leasing staff, maintenance, compliance, accounting, and outside vendors to ensure efficient property operations and quality service to residents.
  • Understand the importance of consistent procedures, accurate documentation, timely follow-up, and compliance with applicable housing requirements.
  • Understand and support Fair Housing principles and the importance of treating all applicants and tenants fairly, consistently, and respectfully.
  • Proactively track lease renewals, recertifications, inspections, notices, vendor documentation, work orders, and other time-sensitive requirements to ensure deadlines are met.
