About The Position

The Salvation Army is seeking an Administrative Assistant to manage the clerical and accounting functions of the facility and Social Services. This role requires utmost confidentiality, adherence to procedures and policies, and a courteous and respectful demeanor towards clients and volunteers. Regular attendance and effective execution of The Salvation Army's Mission are essential.

Requirements

  • High School Diploma, or GED equivalent.
  • Background check required.
  • Two years of experience working in an office.
  • Understanding of general office processes and systems.
  • Valid driver’s license and ability to maintain The Salvation Army Driver’s qualification standard.
  • Completion of Safe From Harm training within the first 30 days of employment.
  • Completion of Caseworker Certification Program within 30 days of employment.
  • Ability to speak, write, and understand English sufficiently for effective communication.
  • Computer proficiency with Microsoft products.
  • Ability to learn electronic reporting systems and TSAMMS, Outlook and Teams.

Nice To Haves

  • Associates Degree preferred.
  • Knowledge of the Spanish language will be helpful.

Responsibilities

  • Preparing and sending account payables according to policies and procedures.
  • Processing weekly contributions, donations, deposits, and receipting.
  • Greeting all persons in a friendly and courteous manner, whether in person or via phone.
  • Ensuring messages are answered in a timely manner.
  • Assisting the Corps Officer with general office and business matters.
  • Processing daily mail.
  • Creating and sending Thank You notes to donors.
  • Performing clerical duties of filing and record keeping.
  • Assisting during seasonal fundraising.
  • Maintaining office and building supplies.
  • Overseeing Volunteers and logistics.
  • Scheduling of Building rentals.
  • Processing and submitting monthly statistics.
  • Driving a Corps vehicle may be required.
  • Attending Advisory Board meetings and taking minutes.
  • Other tasks as assigned by leadership.
  • Overseeing weekly pantry distribution.
  • Assisting Clients with Utility assistance.
  • Providing reporting to Community Harvest.
  • Overseeing documenting and sorting of daily food donations.
  • Attending Empowering Humanities on the first Thursday of the month.
