About The Position

Under general supervision, the Administrative Assistant is responsible for preparing and processing legal documents, correspondence, and reports, including mailing or faxing of documents to case parties. Individuals in this role will perform delegated and supervised substantive and administrative legal work that requires a basic understanding of legal principles and procedures. The Administrative Assistant is expected to have strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously while maintaining accuracy and efficiency in a fast-paced environment.

Requirements

  • High School Diploma or G.E.D. equivalent from an accredited educational institution.
  • Two (2) years of relevant experience.
  • Excellent research, writing, and organizational skills.
  • Excellent interpersonal communication skills and the ability to communicate and collaborate independently or within a team setting.
  • Excellent attention to detail.
  • Proficiency in using technology and legal tools, such as Microsoft Office Suite, PDF editing software, JWEB, DEEDS, Westlaw, and Odyssey.
  • Knowledge of Texas and federal electronic filing systems such as Texas e-file and federal ECF/Pacer to file and retrieve court documents.
  • Ability to perform thorough legal and factual analyses and exercise good judgment.
  • Ability to perform multiple projects simultaneously while maintaining an effective balance of priorities and high productivity.
  • Ability to comply with the organization’s training requirements.

Responsibilities

  • Prepares, processes, and monitors documents, reports, and correspondences related to legal cases and inquiries, including mailing, faxing and delivery of documents to case parties.
  • Creates, organizes, and maintains case files and records in the case management system.
  • Schedules and calendars hearings, meetings, and other case-related deadlines. Attends hearings and meetings as required.
  • Researches and gathers necessary information and records pertaining to legal cases.
  • Communicates with internal and external stakeholders regarding case-related matters and inquiries.
  • Serves as backup to other support staff as needed.
  • Performs other related duties as assigned.
