About The Position

We are hiring an Administrative Assistant to work out of our Newport Beach Office! This role involves planning office and company events, cultivating office culture, and collaborating with other admins to create a consistent and exciting office experience. The position also includes managing incoming and outgoing mail and packages, filling out letters of transmittal, maintaining the office kitchen and conference rooms, assisting with insurance certificates and accounting invoice backups, and helping with miscellaneous projects as needed.

Requirements

  • Excellent organizational skills.
  • Proficient in Microsoft Office Suite
  • Self-starter
  • Strong communication skills
  • 1-3 years applicable experience supporting an office with administrative duties.

Nice To Haves

  • Strong preference for those with experience in the AEC industry.

Responsibilities

  • Plan exciting events for the office and company.
  • Cultivate the office culture for internal and external clients.
  • Work alongside all admins throughout the company to create a consistent and exciting office experience.
  • Own the incoming and outgoing mail and package deliver process for the office.
  • Fill out letters of transmittal as needed.
  • Maintain the office kitchen and conference rooms, ensuring a high level of detail for a presentable office space.
  • Assist with ordering insurance certificates as needed.
  • Assist accounting with invoice backup.
  • Help with miscellaneous projects and tasks for the office and company as needed.
