About The Position

The Administrative Assistant provides essential administrative support to the Center for Quality & Safety, ensuring smooth departmental operations, effective communication, and accurate record-keeping. This role supports quality initiatives and facilitates teamwork across the Medical Center.

Requirements

  • Associate Degree (preferred: Business Science degree).
  • Minimum 2 years of secretarial experience; proficiency with databases, word processing, and spreadsheets.
  • Strong typing and computer skills (Microsoft Office Suite).
  • Excellent communication, organizational, and project management abilities.
  • Ability to manage multiple priorities and meet deadlines.
  • Work effectively with all levels of staff, including senior management and medical staff.
  • Handle sensitive issues with discretion and professionalism.

Nice To Haves

  • Medical terminology desired; familiarity with web development software.

Responsibilities

  • Communicate professionally with staff, patients, and families to promote a positive environment.
  • Maintain confidentiality of sensitive information and adhere to quality and safety standards.
  • Screen and manage incoming requests, referrals, and departmental communications.
  • Track departmental spending, process reimbursements, and assist with annual budget planning.
  • Coordinate meetings, prepare materials, and maintain minutes.
  • Organize travel and enrollments for workshops and seminars.
  • Maintain filing systems for quality assurance and update departmental web pages and SharePoint.
  • Prepare reports for leadership and compile patient satisfaction data for distribution.
  • Assist with physician order sets, medical forms, and annual Quality Symposium organization.
  • Act as a resource for Microsoft Office, Visio, SharePoint, and survey software.
  • Perform other related duties as assigned.
