About The Position

The Administrative Assistant provides comprehensive administrative and operational support to the leadership and management team of GFMG. The Administrative Assistant is responsible for coordinating administrative activities, preparing reports and correspondence, coordinating meetings and schedules, supporting physician onboarding and recruitment activities, and assisting with day-to-day medical group operations.

Requirements

  • High School Diploma or equivalent required
  • NYS Driver’s License
  • Knowledge of procedures and data flow in a healthcare organization
  • Understanding of computer systems, proficiency in Microsoft Office
  • Excellent verbal and written communication skills
  • Ability to balance multiple priorities and meet deadlines with accuracy to details
  • Excellent organizational and time management skills
  • Ability to maintain confidentiality and appropriately handle sensitive information
  • Strong interpersonal skills and ability to work effectively with physicians, APPs, executives, managers, and staff.

Nice To Haves

  • Associate degree in business administration, healthcare administration, or a related field preferred

Responsibilities

  • Provide day-to-day administrative support to medical group/physician network leadership and designated operational teams.
  • Manage calendars, meetings, appointments, agendas, and meeting materials.
  • Prepare correspondence, reports, presentations, spreadsheets, and other administrative documents.
  • Coordinate internal and external meetings, including agendas, minutes, follow-up items, and action tracking.
  • Maintain organized electronic and paper files in accordance with organizational policies.
  • Prepare and distribute communications to physicians, APPs, practice managers, hospital departments, and other stakeholders.
  • Handle confidential physician, employee, financial, operational, and organizational information appropriately.
  • Serve as an administrative resource for employed physicians and advanced practice providers.
  • Coordinate physician meetings, provider communications, and medical group events.
  • Assist with maintaining provider rosters, contact information, schedules, practice assignments, and other provider-credentialing related data.
  • Assist leadership with operational projects
  • Identify administrative issues requiring follow-up and communicate appropriately with leadership.
  • Assist with preparation and tracking of invoices, purchase orders, expense reports, and departmental expenditures.
  • Track assigned projects, deadlines, and deliverables.
  • Serve as a professional point of contact for physicians, APPs, employees, and leadership. Respond to inquiries or route issues to the appropriate individual or department.
  • Maintain a high level of professionalism when representing the medical group.
  • Promote effective communication and positive working relationships throughout the organization
