Administrative Assistant (with Recruiting Support)
About The Position
WIN (Warehouse Installation Network) is an independent Canadian field sales company that runs in-store demo and lead generation programs inside Costco warehouses on behalf of home improvement brands across multiple provinces. We are independent from our retail hosts and manage our own field teams, standards, and hiring. We are a data-driven operation with clear targets and defined ways of working. We are growing, and this role helps keep the operation organized as we scale. We are looking for an Administrative Assistant to support our Operations team day to day. This is a versatile role. Your core work is administrative, but you will flex into recruiting support when hiring picks up, so both organization and people skills matter. You will report to Operations and work closely with our Team Leads across the country.
Requirements
- Strong organization and attention to detail
- Clear phone manner and clear written communication
- Comfortable with spreadsheets, email, and learning new software
- Reliable and self directed, able to manage several priorities at once
- Available full time, including evenings and weekends (required for all applicants)
- Legally able to work in Canada
Nice To Haves
- Previous administrative, coordination, or office support experience
- Recruiting, customer service, or call center experience
- Familiarity with tools such as applicant tracking systems and spreadsheets
Responsibilities
- Provide day to day administrative support to Operations and leadership
- Maintain trackers, spreadsheets, and records with accuracy
- Prepare documents, correspondence, and weekly summaries
- Coordinate scheduling, meetings, and calendars
- Manage email and follow ups, and keep tasks moving to completion
- Keep files and records organized and easy to find
- Coordinate with Team Leads and field staff on routine matters
- Review incoming applications and resumes when hiring is active
- Conduct pre-screening phone interviews to assess fit and availability
- Schedule qualified candidates for interviews with Team Leads and hiring managers
- Keep the applicant tracking system current and accurate
- Monitor applicant flow across job boards and flag drops or gaps early
