Position Title: Administrative Assistant to the Director of Higher Education in Prison Programs Department: Student Affairs Employment type: part-time (wage), no benefits, 29 hours or less per week Position Purpose: The part-time administrative assistant for the higher education in prison program provides administrative support for the Director of Higher Education in Prison. This role requires strong organizational skills, professionalism, and the ability to manage multiple tasks efficiently. This role also requires adaptability, professionalism, and a proactive approach to administrative support. Candidates should be comfortable in a dynamic environment, assisting with various projects as needs arise. Individuals from a justice impacted background are encouraged to apply. This is a grant-based position with funding through the end of October 2028. Continuance of the role will require additional funding.

Responsibilities

  • Collaborate effectively with various divisions and departments across campus to support higher education in prison program operations.
  • Manage enrollment processes for incarcerated students throughout the semester. This includes using Student Information System (SIS) to register, add, and drop students from courses, place holds on student accounts, and ensure faculty submit all required documentation to the Registrar's Office.
  • Coordinate bookstore reconciliation each semester, including communication with the bookstore regarding textbook orders, tracking returns, maintaining a semester expense spreadsheet, and liaising with faculty to confirm required textbooks, supplies, and lab materials.
  • Deliver course materials and other necessary items to Virginia Department of Corrections (VADOC) facilities throughout the semester. (This position requires frequent driving. A valid Virginia driver's license and reliable transportation are strongly preferred.)
  • Assist the Director with planning and preparation for events such as faculty trainings, professional development sessions, and advocacy activities.
  • Support the Director with preparing registration materials and coordinating logistics for other student-facing events.
  • Provide assistance to faculty and staff in completing required VADOC background check paperwork and scheduling fingerprinting appointments.
