About The Position

Administrative Assistant III to Director of Community Programs

Requirements

  • High school diploma or GED equivalent; college credits with office skills training or equivalent business school training preferred.
  • Minimum of three (3) years of administrative secretarial experience; experience in public education settings preferred.
  • Knowledge of school district organization, operations and administrative policies, procedures, and business practices.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) required; Google Suite (Docs, Sheets, Slides, Forms, Classroom) Adobe, Finance Plus and eSchool Plus experience preferred.
  • Effective verbal (receptive and expressive) and written communication skills, detail-oriented and ability to problem solve a wide variety of complex and confidential matters.
  • Ability to prioritize, organize, multi-task numerous complex administrative activities and manage time with minimal supervision.
  • Ability to work with frequent interruptions; ability to maintain emotional control under stress.

Responsibilities

  • Prepare correspondence, forms, schedules, contracts, and reports for the Director of Community Programs.
  • Manage the Community Programs department calendar and scheduling of events/meetings.
  • Manage the social media sites for the department.
  • Manage the email accounts for the Community Programs department, as assigned.
  • Maintain physical and electronic department files.
  • Assist with quotes and purchase orders for department purchases.
  • Assist Community Programs employees with questions regarding policies and practices.
  • Answer and respond to incoming calls, take reliable messages and route to appropriate staff; assist directly with routine inquiries.
  • Must be able to meet department and district deadlines.
  • Act as backup for various positions within the Community Programs department, including but not limited to, receptionist and registration clerk.
  • Maintain confidentiality of information.
  • Assist with special projects.
  • Work as part of a team to contribute to the success of the Community Programs department.
  • Provide quality customer service.
  • Perform other duties as assigned by the Director of Community Programs.
  • Regular and reliable attendance is an essential job function.
