About The Position

The Administrative Assistant to the Director of Curriculum and Instruction supports the TrueNorth mission and is committed to the possibilities in every learner, every day. This position provides comprehensive administrative, organizational, and technical support to the Curriculum and Instruction Department, including curriculum, instruction, assessment, professional learning, and coaching initiatives. The Administrative Assistant ensures smooth departmental operations, supports communication with internal and external stakeholders, and contributes to the cooperative's vision of instructional excellence, equitable access, and inclusive communities.

  • Working knowledge of student information systems and electronic databases (e.g., Embrace, TeacherEase), or the ability to acquire such knowledge
  • Ability to problem-solve, anticipate needs, and work independently with minimal supervision
  • Strong customer service orientation and ability to support diverse stakeholders with professionalism and empathy
  • Ability to coordinate logistics for meetings, workshops, and events, including virtual platforms such as Zoom
  • Capacity to adapt to changing priorities, peak workloads, and fast-paced departmental needs
  • High school diploma required

Responsibilities

  • Provide administrative and clerical support to the Director of Curriculum and Instruction and the broader Curriculum and Instruction Department
  • Maintain departmental calendars, schedules, forms, and documentation
  • Provide coordination of logistical support for TrueNorth campus Institute Days and other related professional learning activities such as room set-up, materials preparation, and oversight of other administrative assistance for contributions for the day
  • Prepare, organize, and maintain accurate records, files, and data systems for curriculum, instruction, assessment, and professional learning
  • Support the management of electronic student and instructional databases, including Embrace and TeacherEase, ensuring accuracy and timely updates
  • Assist with the preparation and distribution of parent notices, IEP-related documents, progress reports, and course code information
  • Support the coordination of professional learning workshops, trainings, and coaching events (in-person and virtual)
  • Assist with event logistics, including room setup, materials preparation, participant check-in, and troubleshooting
  • Maintain inventory of professional learning materials; order, organize, and distribute supplies as needed
  • Manage registration systems, and account requests for professional learning platforms
  • Provide technical support for virtual meetings and webinars (e.g., Zoom)
  • Serve as a point of contact for staff, families, and member districts regarding departmental inquiries
  • Draft and distribute communications to program staff, families, and external partners
  • Support the dissemination of curriculum, instructional, and assessment updates to stakeholders
  • Assist staff with questions related to registration, documentation, and departmental processes
  • Process supply and equipment orders for classrooms, professional learning, and departmental needs
  • Track expenditures and provide accurate, timely documentation to Accounts Payable
  • Support the coordination of departmental projects, timelines, and reporting requirements
  • Ensure safety and security protocols for staff and visitors are followed related to entrance and exit of the building and engage in receptionist duties
  • Assist with documentation and processes related to curriculum implementation, assessment systems, and instructional initiatives
  • Support the organization of materials and records for program evaluation, monitoring, and accreditation activities
  • Collaborate with instructional staff, related service providers, and program administrators to support departmental operations
  • Maintain the documentation for ISBE requirements for PD hours and the Illinois Department of Financial and Professional Regulation (IDFPR) requirements
  • Maintain licensure for IDFPR
