About The Position

Support District operations in maintenance department. This role provides administrative and clerical support to the maintenance department, including screening phone calls, visitors, and other inquiries. The position works directly with the Director of Facilities, Maintenance Supervisor, and Operations Supervisor daily to support the operations, goals, and projects of the department. Responsibilities include assisting with ordering, purchasing, receiving, tracking, and reconciling equipment, supplies, and other materials. The role involves performing clerical duties such as processing purchase orders and pay applications with a high degree of accuracy, inputting data, and submitting orders according to established procedures. Additionally, the Administrative Assistant coordinates with schools, administrators, contractors, and other stakeholders as directed by the maintenance director, and prepares, organizes, and maintains reports, spreadsheets, communications, and other information. The position requires communication with Maintenance staff and other stakeholders to provide exceptional customer service and assists with compliance documentation and records as required by the district, state, and applicable regulatory agencies. Maintaining confidential information is also a key aspect of this role. Requirements

  • high school diploma, G.E.D. Certificate or demonstrated progress toward obtaining a G.E.D. as required by Kentucky law
  • three years of increasingly responsible secretarial and clerical experience.
  • Basic computer skills including use of mouse and keyboard to navigate computer, e-mail, and websites
  • Subject matter in area of assignment
  • Short and long-range planning techniques applicable to area of specialty
  • In-service materials, subject matter and methods in area of specialty
  • Record-keeping techniques
  • Laws, rules and regulations related to assigned activities
  • Policies and objectives of assigned program and activities

Responsibilities
