About The Position

Loomis Chaffee is seeking an experienced Administrative Assistant to provide support and coordination of the health services activity on campus. The health center is a 24/7 infirmary for high school age boarding and day students. The individual will also serve as the main school receptionist, coordinating daily attendance and directing phone calls to the appropriate offices. This is a full-time, nine-month position. The ideal candidate must be able to thrive in a fast-paced environment and be a self-starter. Must have medical/healthcare office experience and be interested in working in a medical office who serves a diverse group of high school students. The person must possess exceptional customer service and communication skills; they must be a team player who is detail-oriented and able to prioritize work under deadline pressure. The candidate must exercise initiative, be highly organized, and capable of concurrently managing several different projects.

Requirements

  • Excellent interpersonal and organizational skills and customer service orientation; ability to comfortably interact with healthcare professionals, high school students, and their families from diverse backgrounds.
  • Strong level of data entry experience and comfort with learning new systems; keen attention to detail; strong written and verbal communication as well as multi-tasking and problem-solving skills; ability to work as part of a highly successful team; a sense of humor and the energy required for a fast-paced office; the ability to work independently on a variety of projects; ability to handle confidential matters with discretion; ability to work effectively and represent the School positively with faculty, administrators, students, alumni, and external constituents in a diverse environment; a high level of comfort and skill working with various office technologies, including a proficiency with all Microsoft applications.

Responsibilities

  • Serving as the direct point of contact for daily school attendance and related matters managing the school’s main telephone line.
  • Coordinating student schedules to schedule appointments with the Health Center, Counseling Center, Athletic Trainers, Director of Well-being and other areas as necessary.
  • Ordering medical and office supplies.
  • Billing and managing receipts.
  • Creating, updating, maintaining licensure renewals of staff and infirmary.
  • Entering staff and students’ information into a database.
  • Handling student insurance.
  • Reviewing data for deficiencies, resolving discrepancies by using established procedures and following-up with colleagues or prospective families to collect incomplete data.
  • Receiving and responding to calls and emails in a professional and timely manner; take messages and route correspondence as appropriate.
  • Scheduling and maintaining online office calendar (currently Outlook) for the office.
  • Serving as a back-up for driving students to and from school for medical appointments which requires a Connecticut Public Passenger Endorsement (PSL).
  • Performing other duties as assigned.
