About The Position

We are looking for an Administrative Assistant who provides comprehensive administrative support to the Executive Chef and the Culinary team, handling tasks like managing calendars, scheduling meetings, answering phone calls, preparing documents, maintaining files, and ordering office supplies ensuring smooth day-to-day operations and effective communication within the office environment, requiring strong organizational, communication, and computer skills.

Requirements

  • High School or GED
  • 5 or more years’ experience in an administrative role
  • Attention to detail
  • Accuracy and speed in executing assigned tasks
  • Works well independently and as part of a team
  • Excellent time management
  • Ability to handle confidential information with utmost discretion
  • Strong written and verbal communication skills to effectively interact with diverse individuals at all levels.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and work efficiently under pressure.
  • Meticulous attention to detail to ensure accuracy in all work products.
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint), email management systems, and calendar applications.
  • Flexibility to adjust to changing priorities and work demands

Responsibilities

  • Update BEO boards and binders daily
  • Weekly update and printing of poster size monthly grid of BEO information
  • Run daily and weekly payroll reports with ADP app and send report daily to Chefs
  • Responsible for all time clock corrections
  • Assist and maintain clock in Uattend software for contract labor
  • Track temp hours daily and weekly
  • Responsible for new hire paperwork
  • Responsible for completion of termination and changes paperwork
  • Prepare new hires with pertinent information, use record packets
  • Responsible for coding and input of food, liquor, comp and other supplies invoice data into spending spreadsheets daily
  • Reconcile spending weekly
  • Responsible for completion of monthly expense reports for Exec Chef and Dir. Of Purchasing
  • Assist and maintain cafeteria standards
  • Assist attendant in set up and replenishing throughout the day as needed
  • Responsible for consolidation of schedules, posting and sending to Chef weekly.
  • Order and maintain cook jacket program ensuring cooks have presentable uniforms
  • Responsible for maintaining current use records (recipes) of menu items
  • Printing of packets of new menu items for kitchen staff
  • Create spreadsheets as needed
  • Sign and check in for various deliveries throughout the day
  • Maintain and keep confidential employee information
  • Maintain current Food Handler Certificates for Culinary staff
  • Schedule possible job candidates for interviews, send follow up emails
  • Liaison with Human Resources and Culinary employees
  • Aid HR in accessing employees for benefits and other HR related issues.
  • Translating HR information for employees
  • Maintain spices used by Chef
  • Create signs as needed
  • Editing of Menus in Publisher (when needed)
  • Print temp logs monthly
  • Enter Manager Culinary schedule every Friday morning to Master OP’s schedule
  • Create summer camp menu and assist in ordering food items for duration of camp
  • Order supplies as needed
