About The Position

The Administrative Assistant to the Elementary Principal provides comprehensive administrative and operational support to the elementary school and building administration to ensure safe, efficient, and effective operations. The position serves as the primary point of contact for students, families, staff, and community members while supporting building security, staffing, student records, financial operations, purchasing, communications, and school activities.

Requirements

  • High school diploma or equivalent
  • Minimum of two years of administrative support experience
  • Proficiency in Google Workspace, Microsoft Office applications, and database management systems

Nice To Haves

  • Associate degree in Education, Business/Office Administration, or a related field preferred
  • Previous experience with student information systems preferred

Responsibilities

  • Serve as the primary point of contact for the elementary building and provide professional customer service to students, families, contractors, and visitors.
  • Manage multi-line phone system, secured entrance procedures, visitor management system, and emergency radio communications.
  • Serve as a member of the building crisis team.
  • Coordinate and maintain student information within district systems.
  • Process student enrollments, withdrawals, and related records.
  • Monitor and maintain student attendance records; follow up on unreported absences and chronic absenteeism in accordance with district and state requirements.
  • Manage absence management and employee timekeeping systems in accordance with district procedures; reconcile absence and timekeeping records.
  • Coordinate substitute coverage to maintain adequate staffing levels and provide support to substitute personnel.
  • Coordinate purchasing activities including ordering, receiving, and reconciling purchases in accordance with district procedures.
  • Maintain supply inventories and monitor building budgets, expenditures, grants, and reimbursements.
  • Resolve purchasing, delivery, and product repair/replacement issues.
  • Process student fees, library fines, staff dues and other assigned financial transactions.
  • Provide professional and timely communication with students, families, staff, administrators, district departments, and community partners through various communication channels.
  • Maintain building communication systems and daily announcements.
  • Coordinate building-level logistics for annual student testing.
  • Assist with planning and support of school events, special projects, and building initiatives.
  • Complete all required district training and maintain compliance with district procedures.
  • Assist with seasonal webpage updates.
  • Participate in professional learning opportunities related to assigned responsibilities.
  • Perform other job-related duties as assigned.
