The Administrative Assistant for Technology Operations serves as a vital partner in the mission to modernize the school district. Requirements

  • Strong proficiency in Google Workspace, with a specific emphasis on Google Sheets (formulas, data organization).
  • Proven ability to remain flexible and positive in a rapidly changing work environment.
  • Excellent written and verbal communication skills for interacting with district staff and outside vendors.
  • Previous experience in bookkeeping, purchasing, or administrative support (educational setting preferred).
  • A desire to learn new systems and help the district evolve.
  • Ensuring accuracy in financial compliance and documentation.
  • Taking initiative to improve processes without being prompted.

Responsibilities

  • Manage the end-to-end purchasing process for all technology hardware, software, and services.
  • Ensure all financial transactions and procurement activities strictly adhere to district policies, state statutes, and federal requirements (including E-rate and grant compliance).
  • Coordinate yearly documentation for mandated training and regulatory requirements (e.g., CIPA, ITSP-1, and E-rate).
  • Provide data and cost analysis for district-wide foundations and educational partners as needed.
  • Coordinate and communicate department expectations and initiatives as directed by leadership.
  • Maintain the official approved hardware/software registers and facilitate the vetting process for new application requests.
  • Assist in the maintenance and processing of Help Desk orders to ensure timely resolution of technology needs.
  • Monitor and process documentation for departmental travel expenditures and reimbursements.
  • Actively participate in the "Beta Testing" of new administrative processes, software, and workflows within the Tech Department.
  • Develop and maintain comprehensive Standard Operating Procedures (SOPs) for departmental tasks.
  • Serve as a resource and model for other district departments by demonstrating streamlined administrative "best practices."
  • Utilize advanced spreadsheet functions (Google Sheets/Excel) to track budgets, inventory levels, and project timelines.
  • Generate reports that provide data-driven insights into departmental spending and operational efficiency.
  • Be willing to continuously learn and master new data management tools as they are introduced.
